Summit Housekeeping Admininstrative Assistant

1. Working Hours: Full-time, potential for year-round position

3. Must be a flexible individual and have strong interpersonal, phone and math skills.
4. Computer skills necessary-preferably previous exp. with Excel and spreadsheets.
5. Successful applicants will also have the ability to handle multiple tasks at once, be well organized, and detail oriented.
- Basic Office Duties: Answering telephone calls, returning messages, filing, copying and computer input. Keeping office tidy and user friendly. Keep shelves stocked, assist with directing PA's and Runners.
- Payroll: Pricing lists and in-putting on spread sheets in computer, copying for Housekeepers (payroll week), turning into payroll on time, communicating with Executive Housekeeper on any issues. Payroll must be approved by Executive housekeeper or assistant before turning into payroll. Daily corrections of Kronos as well as inputting piecework.
- Scheduling: Prepare weekly schedule of Housekeeping staff paying attention to arrivals and departures.
- Lost and Found: Logging all items into computer, tagging and storing all items, returning phone calls, and shipping out of items
- Inventories: Ensure that weekly inventories get done, assist with orders (help prepare order to be e-mailed to purchasing person). Conscience of products that are not harmful to the environment, the user, or to the surfaces here at the Resort. Communicating with purchasing person to make sure we are combining orders with the other Housekeeping office when possible.
- Hiring: Assist the Executive Housekeeper with administrative aspects of hiring for all positions within the Housekeeping Department. Responsible for making sure all appropriate paperwork is filled out and turned into Personnel in a timely fashion. Updating Executive housekeeper on any paperwork that is outstanding
- Daily inspections: To be done on all storage areas of Summit and Village Center Organize, clean, remove any and all trash/items that do not belong. Handle what you can and delegate to appropriate employees what you can.
- Assisting Executive Housekeeper: With enforcing the dress codes, delegating work and checking / inspecting rooms when necessary, calculating scores, inputting scores, copying for staff. He / She is responsible for answering and handling employee and guest questions for which he / she is required to be professional, positive, and helpful to fellow employees and guests.
- Turn Down Lists: Construct and print for crew each evening before leaving.
Administrative Assistant Also:
- Handles guest concerns and solves problems to the degree possible
- Knows all safety and emergency procedures
- Regularly attends scheduled meetings of Housekeeping staff
- Wears proper uniform at all times and adheres to the Resort?s personal grooming policy
